This policy explains how JOlivier & Partners collects, uses and protects personal data, in accordance with Regulation (EU) 2016/679 (GDPR) and Portuguese Law 58/2019.
JOlivier & Partners, established in Lisbon, Portugal, is the controller of the personal data described below. You can reach us through our contact form for any question relating to this policy or to exercise your rights.
Enquiry form. Name, email address, company, the service you select and the content of your message.
Application form. Name, email address, current role, current organisation, LinkedIn profile, cover note and any curriculum vitae you choose to upload.
Search and advisory engagements. Where you are a candidate in a mandate we conduct, we may also process career history, qualifications, remuneration expectations, assessment notes produced by us, and references you have authorised us to take up. Some of this data may be provided by our client or by publicly available professional sources rather than by you directly.
Technical data. Our server records the IP address associated with a form submission, together with standard access logs generated by our hosting provider.
We process enquiry data on the basis of our legitimate interest in responding to business enquiries, and, where a mandate follows, for the performance of a contract. Candidate data is processed on the basis of legitimate interest in conducting executive search, and on your consent where we retain your details beyond a specific mandate. Where consent is the basis, you may withdraw it at any time.
Enquiries that do not lead to an engagement are deleted within 24 months. Candidate data relating to a completed mandate is retained for up to 5 years, reflecting the period in which a placement may need to be substantiated or a guarantee honoured. Where you have consented to remain on our candidate register, we retain your details for 2 years and ask you to confirm before extending. Records required by tax or accounting law are kept for the statutory period.
We do not sell your personal data and we do not share it for marketing purposes. We do use third parties who process data on our behalf as processors, under contract and on our instructions: our website hosting provider and our email provider. Where a mandate is underway, candidate details are shared with the client organisation conducting the appointment, and only with your knowledge.
Our infrastructure is located within the European Union. Where a mandate involves a client outside the EEA, any transfer of your data is made on the basis of an adequacy decision or standard contractual clauses, and only after you have been informed.
This website sets only strictly necessary cookies, which do not require consent: _xsrf, a security token that protects our forms against cross-site request forgery, and _rl_*, short-lived cookies that prevent repeated form submissions. We do not use advertising, profiling or tracking cookies, and there are no third-party scripts on this site.
We keep a first-party record of which pages are viewed, in order to understand which parts of the site are useful. For each page view we store only the date and time, the page address, the site language, the domain you arrived from, and whether the device was a desktop, tablet or phone. We do not store IP addresses, do not set any cookie for this purpose, do not attempt to recognise returning visitors, and do not share this data with anyone. Because no individual can be identified from it, this measurement does not rely on your consent — but if that ever changes, we will ask first.
You have the right to access your data, to have it corrected or erased, to restrict or object to its processing, and to receive it in a portable format. To exercise any of these rights, contact us via our contact form. You also have the right to lodge a complaint with the Portuguese supervisory authority, the Comissão Nacional de Proteção de Dados (CNPD), at www.cnpd.pt.
Where this policy changes materially, we will update the date shown above and, where the change affects data we already hold, notify you directly.
